Finance leaders get asked to spend money and to say no. A cold email that reaches them has to be easy to check. This playbook is built on one idea: write for cost, risk and proof. Say what it costs, say what could go wrong and how you limit it, and give one number the reader can trace.
None of this depends on a trick. It depends on a short email, a claim you can source, and an opt-out that works. Most of the work happens before you write a word: who you pick, what you know about them, and whether your sending setup is sound.
Who buys
Who buys depends on what you sell. A payments tool, a spend-management product and an audit service do not share one buyer. So start from your own history, not from a guess about finance in general.
Outlevo works this way. It learns your ideal customer from the deals you won and lost in HubSpot, and it reads deal pipeline, stage, amount and closed-lost reason [[1]](#sources). Salesforce is also supported for accounts and opportunities, as a pilot: the connection needs the Outlevo package in your org, which Outlevo installs with you, and there is no AppExchange listing [[2]](#sources). If your deals live in a spreadsheet, you can import companies and won or lost deals from a CSV of up to 200,000 rows [[3]](#sources).
Two limits keep this honest:
- Win/loss analysis counts companies, not deals. Fewer than 10 won companies is labeled very low confidence [[4]](#sources).
- Segments proposed by AI are labeled experimental until a person approves them [[4]](#sources).
If you have no deal history yet, the free assessment reads up to 5 public pages of your website. It returns facts labeled as verified observations or AI inferences, and up to 5 experimental segment hypotheses [[5]](#sources). Treat those hypotheses as questions to test, not as a verdict.
Outlevo also asks which countries you sell into and never proposes markets [[4]](#sources). The choice of markets stays with you.
Roles to reach
Pick roles from your own won deals, not from a generic list of finance titles. A title like "CFO" or "head of finance" tells you little until you see which titles sat on the deals you closed.
Contact data helps here. If you use HubSpot, contacts can come into Outlevo with email, name, job title and email opt-out. That happens only after an admin turns contact import on with a stated purpose [[1]](#sources). Company owners are read too, so hot leads go to the right rep [[1]](#sources).
Before you write to anyone, set the rules for who can be contacted. In Outlevo, policies set who can be contacted, on which channels, how often and with what budget [[6]](#sources). If you work from Gmail, the Outlevo extension's recipient guard warns you before you email a contact Outlevo should not reach. The extension is a pilot: the Chrome Web Store listing is not out yet, and design partners load it from a folder [[7]](#sources).
Write to one role per email.
Triggers to watch
A trigger is a reason to write this week and not next quarter. Use only triggers you can see and date.
What Outlevo can show:
- Site visits. Add one script to your website and Outlevo shows which companies visit, which pages they read and whether they fit your ICP. It never identifies a person [[8]](#sources). The cost is 1 credit per company identified per day, however many pages it reads [[8]](#sources).
- Competitor signals. Competitor tracking covers quoted facts from competitors' public pages, changes, win/loss by competitor and competitor signals on accounts [[9]](#sources).
- Intent scores. Each qualified account gets a Readiness Card with fit, intent and data quality scores [[10]](#sources).
A trigger only counts if you can name where you saw it. A Readiness Card needs at least three observations, each with a source and a date [[10]](#sources). Facts read from a website are kept only when their quote is found on the page [[10]](#sources). Hold your own notes to the same standard. If you cannot point to the page or the date, do not write it in the email as fact.
What finance reads for: cost, risk, proof
Finance readers tend to scan an email for three things. This is the premise of the playbook, so test it against your own replies.
Cost. Say what the thing costs or what it replaces, in one clause. If the price depends on a contract, say that and offer a number on a call. Do not hide price behind a demo request if you can state it.
Risk. Name the risk you reduce, and the risk you add. Finance readers know that every new vendor adds some. A sentence on how you limit it does more than a claim that you are safe.
Proof. Give one number, and make it checkable. This is the part most senders skip.
One number, with a source
Use one number per email. Take it from your own records or from a public source you can name. If the reader asks where it came from, you should be able to answer in one line.
Do not stack three statistics to look thorough. Three weak numbers read worse than one solid one. Do not round a number up. Do not present a guess as a finding. Label guesses as guesses, the way a Readiness Card labels hypotheses and never presents them as findings [[10]](#sources).
If you cite a number from someone else's study, say what it counts. Reply-rate figures are a good example of why. Belkins' 2026 cold email study covers 7.5M B2B emails sent in 2025, and it defines reply rate as replies divided by emails sent [[11]](#sources). In that study, 0.45% of emails get a reply across industries [[12]](#sources). Legal Services falls in the 0.56–0.60% range [[13]](#sources).
Smartlead's benchmark counts differently. It reports that 0.74% of contacts reply for the median sender [[14]](#sources). That figure counts contacts, not emails sent, so you cannot set it next to the Belkins figure as if both measured the same thing.
Use these as background for your own planning. They are not a target for finance buyers, and they are not a promise of what you will see. Your own reply rate, on your own list, is the number that matters.
Keep the email short
A short email respects the reader's time and makes the ask easy to judge. A workable shape:
- One line on why this person. A dated, sourced observation, not a compliment.
- One line on what you do and what it costs or replaces.
- One number, with where it comes from.
- One question. A yes-or-no question, or a request for a short call.
- The opt-out and your valid physical postal address [[15]](#sources).
Cut anything that does not serve one of those five lines. Skip the company history. Skip adjectives. Do not attach files to a first email.
On follow-ups, add something new each time: a second dated observation, or an answer to a likely question. A bare "just checking in" gives the reader nothing to weigh.
The opt-out and the footer
For finance readers, a clear opt-out is part of the proof. It shows you follow rules, and it makes the next email safer to open.
Three published rules bear on opt-out and the footer:
- Google says: "Marketing messages and subscribed messages must support one-click unsubscribe, and include a clearly visible unsubscribe link in the message body." [[16]](#sources) (checked 2026-10-22)
- Yahoo's sender best practices say: "Honor unsubscribes within 2 days" [[17]](#sources) (checked 2026-10-22)
- The FTC's CAN-SPAM guide says: "Your message must include your valid physical postal address." [[15]](#sources) (checked 2026-10-22)
Put the unsubscribe link where the reader can see it, not in gray type below the fold. Put your real postal address under it.
On data protection, GDPR Article 6(1)(f) allows processing that is "necessary for the purposes of the legitimate interests pursued by the controller or by a third party" [[18]](#sources) (checked 2026-10-22). Recital 47 says: "The processing of personal data for direct marketing purposes may be regarded as carried out for a legitimate interest." [[19]](#sources) (checked 2026-10-22).
For UK corporate recipients, the ICO's PECR guidance says: "You can email or text any corporate body (a company, Scottish partnership, limited liability partnership or government body)." [[20]](#sources) (checked 2026-10-22)
These are quotes, not legal advice. Which rules apply depends on where your recipients are and who they are, so check with a lawyer before you send.
Set up sending before you write
A good email in a spam folder proves nothing. Check the setup first. The deliverability of your sending domain is part of the risk story you are telling.
If you send through Smartlead, Outlevo writes and schedules the emails, and Smartlead sends them from the mailboxes in your Smartlead account [[21]](#sources). Before a campaign sends, every mailbox must be connected and warmed up. Its domain must also have SPF, DKIM and DMARC checked in the last 7 days [[21]](#sources). If you need a refresher on the last of those, see DMARC. Sending, follow-ups and the mailboxes your plan includes use no credits [[21]](#sources).
If you want separate sending domains so your main domain stays out of it, managed mailboxes are an option. Outlevo buys the domains, creates the mailboxes through Zapmail, sets up DNS and warms them up [[22]](#sources). A new mailbox sends nothing until it is warm. That takes at least 14 days, usually about 3 weeks [[22]](#sources). Builder includes 1 domain and 2 mailboxes. Growth includes 2 domains and 4 mailboxes [[22]](#sources).
Verify addresses before you send. Email verification costs 1 credit [[23]](#sources). Read more on the email verification page.
On plan costs, Builder is USD 29 per month with 320 credits a month. Growth is USD 149 per month with 1650 credits a month [[23]](#sources). Full details are on the pricing page.
Controls your reader would ask about
Have your own controls, and be ready to describe them in a sentence if asked.
In Outlevo, nothing is sent outside a policy that a person approved [[6]](#sources). Every external action is checked against the approved policy before it runs, and recorded in a ledger [[6]](#sources). Kill switches pause a campaign, a channel or the whole workspace at once [[6]](#sources).
On data handling, every customer table is protected by row-level security in the database [[24]](#sources). Personal data such as email addresses is encrypted at the field level [[24]](#sources). Staff support access is read-only, time-limited and logged [[24]](#sources). More is on the security page.
Add LinkedIn carefully
You can pair email with a LinkedIn step. Outlevo sends a connection invitation with a short note, then one message after the person accepts. A reply stops that lead's emails [[25]](#sources). The invitation note is at most 300 characters [[25]](#sources). Keep it plain: who you are and one reason for the connection.
Automatic sending is included on Growth and Managed. On other plans the invitations and messages are drafted for you to send by hand [[25]](#sources). Each person connects their own LinkedIn account [[25]](#sources).
Sample first email (example)
Example only: written for this playbook, not sent to anyone.
Subject: Question about [specific cost line]
Hi [First name],
I saw on [page or document, with date] that [one dated, sourced observation about their company].
We help [role] teams [what you do] without [the cost or risk they would worry about]. Price is [price, or "set per contract; I can give you a figure on a call"].
One number: [one figure from your own records or a named public source, and where it comes from].
Would it be useful to see how that applies to [their company]? A yes or no is fine.
[Your name]
[Your company] · [Your valid physical postal address]
Not relevant? [Unsubscribe here] and you won't hear from me again.
Notes on the example:
- The subject names a specific topic, not a pitch.
- The observation is dated and sourced, so the reader can check it.
- Price is stated or deferred openly.
- There is one number, with its origin.
- The opt-out is visible and sits next to the address.
Fill every bracket with something you can source. If you cannot fill one, delete the line.
Next step
Before you write to finance leaders, get clear on who in your own history buys. The free assessment reads up to 5 public pages of your website and returns facts labeled as verified observations or AI inferences, plus up to 5 experimental segment hypotheses [[5]](#sources). Start with the free ICP assessment.
