Outbound for staffing agencies
A staffing agency has a better research source than anyone: the client’s open roles. Read the careers page the way a recruiter would, and write to whoever owns the role that has stayed open.
Who buys
The roles that sign, evaluate or veto when you sell as one of the recruiting and staffing agencies.
Hiring manager for the open role
Feels the vacancy directly and has authority to bring in a recruiter.
Head of talent acquisition
Manages agency vendors and wants fill speed and quality.
HR or people lead at a small company
Without a recruiter, they take outside help for hard roles.
Founder at a growing company
Hires the first ten people and has no time for sourcing.
Which companies fit, and how to check
Four tests, each answerable from a public page before you spend anything on a contact.
| Test | Where to check it |
|---|---|
| It has open roles in your niche | The careers page lists roles you fill (engineering, finance, healthcare, trades). |
| The roles have stayed open | A role posted again, or listed on the careers page for a long time. |
| It has no large recruiting team | No talent acquisition roles on the team page. |
| It is growing | News or funding mentions on the site, and several roles open at once. |
Public buying signals to look for
Dated, quotable events on the prospect’s own pages.
| Signal | Page | What it can mean |
|---|---|---|
| Several open roles in one function | Careers page | A team build-out; an agency can supply volume. |
| A senior role that has been open a while | Careers page or job boards | Hard to fill; specialist search helps. |
| A recruiter or talent role posted | Careers page | They are building in-house capacity; offer overflow, not replacement. |
| A new office or country | About page | Local hiring with no local network. |
| A funding round | News page | Hiring budget just appeared. |
What to say
- Quote the role by its exact title and where it is listed.
- Say how you work (retained, contingent) and the one niche you cover.
- Offer two profiles or a salary range of the market, if you can source it.
What to avoid
- Generic lines about top talent.
- Calling their hiring process broken.
- Quoting salary data without a source.
A sample email
Every fact about the prospect sits next to the quote and the page it came from.
Illustrative. Orchard Robotics (orchardrobotics.example) is an invented company, and so is Beth at Pivotal Search. The pages quoted do not exist. The email goes to its VP Engineering.
| What the email says | Quote on the page | Page (illustrative) |
|---|---|---|
| your careers page lists a Senior Controls Engineer | “Senior Controls Engineer, Austin” | orchardrobotics.example/careers |
| it is one of several engineering roles open | “Engineering: Controls, Firmware, Mechanical, Test” | orchardrobotics.example/careers |
Subject: The Senior Controls Engineer role
Hi {{first_name}},
Your careers page lists a Senior Controls Engineer, and it is one of several engineering roles open.
Controls engineers for robotics are a small pool, and I place only in that pool. I can send two profiles before we talk about terms.
Would that help? If not, tell me and I will stop.

How Outlevo would run it
- 1
Read your site
It reads your own pages and drafts who you sell to, starting from tests like “it has open roles in your niche” and “the roles have stayed open”.
- 2
Find and research
It finds companies that fit and reads each one’s own pages: careers page, careers page or job boards and about page.
- 3
Write with quotes
Each email says only what a page said, such as “your careers page lists a Senior Controls Engineer”, with the quote and page kept beside it.
- 4
Send with limits
Addresses are verified, every email carries your opt-out line, and sending stops when bounces or complaints rise.
