Cold email and prompt templates

22 cold email templates and 11 AI prompts for outbound. Each has the template, when to use it, why it works, a filled-in example on an invented company, and variants.

Cold email by situation

Breakup email

A breakup cold email template that closes the sequence politely, gives one last easy way to reply, and keeps the door open without guilt.

AI prompts for research and writing

Prompts that work only from pages you give them, quote each fact and say “not found” when the pages are silent.

Research an account from its own pages

A prompt that turns a prospect’s own pages into sourced notes for a cold email: what they do, what changed, who owns the problem, each with a quote.

Write a sourced first line

A prompt that writes a first line for a cold email from one quoted fact on the prospect’s page, refusing to flatter or guess when nothing is there.

Qualify a company against your ICP

A prompt that scores a company against your written ICP from its pages only, with a quote per criterion and an explicit “unknown” where it cannot tell.

Draft an ICP from your best customers

A prompt that drafts an ICP from the pages of your best customers and the ones you lost, separating what they share from what is coincidence.

Find buying signals on a company site

A prompt that reads a company’s careers, news and pricing pages and lists only dated, quotable signals relevant to your offer, with the page for each.

Pick the right buyer from public titles

A prompt that picks who to write to from the people and roles a company’s own pages name, and says “not found” when no page supports a choice.

Shorten an email without losing the fact

A prompt that cuts a cold email to a target length while keeping every sourced fact and the opt-out line intact, and reports what it removed.

Write honest subject lines

A prompt for plain cold email subject lines drawn from the email’s own fact: no fake Re:, no urgency, no clickbait, with a length limit.

Reply to an objection honestly

A prompt that drafts a short, honest reply to a prospect’s objection using only your own facts, with no pressure, no invented proof and a clear stop.

Audit an email for unsourced claims

A prompt that checks every claim in a cold email against the sources you supply, flags what is unsupported, and flags deceptive or spam-like wording.

Draft a follow-up from the first email

A prompt that drafts a follow-up from the first email and a second sourced fact, keeping it short, new and free of guilt or fake threads.

How the templates are checked

Every email template and variant on this site is run, in the site’s tests, through the check Outlevo applies to its own outbound emails: only known merge tags, no number without a source, no spam wording, at most one link, no fake “Re:” or “Fwd:”, and a length under a hundred and twenty words.

The facts in each example email are listed beside the quote and page they came from. The prospects are invented and marked illustrative.

Questions

Do the templates need an unsubscribe line?
Yes. A cold email to a business should say who you are, include a postal address and give a clear way to opt out. Outlevo adds your sender address and a one-click unsubscribe link under every email it sends, so each template here ends at the sign-off. If you send by hand, add both.
Why do the templates contain so few numbers?
Because a number in a cold email needs a source, and a template has none. Outlevo’s own check on outbound emails flags any number that is not in the facts or the sources, so numbers here are written as words or left for you to source.
Are the example companies real?
No. Every example prospect is invented, uses a domain that ends in .example and is marked illustrative. The pattern is real: each fact in the email sits next to the quote and the page it came from.
