Cold email template · by situation

First cold email template: one observation

The default first email: one thing you read on their site, one sentence on why it matters to their role, one question. Everything else is cut.

When to use it

  • You have one checkable fact about the company and a role to write to.
  • Nothing in particular has just happened to them: no hire, no funding, no launch.
  • You want a baseline to test every other template against.

The template

Copy it, then replace the brackets with what you read on their pages.

Subject: {{company_name}} and [the fact, in four words]

Hi {{first_name}},

I read on [the page] that [the fact, in their words].

Teams in that position usually run into [the one problem it causes]. We [what you do, in one sentence].

Would it help if I sent [a small, specific thing]? If not, tell me and I will stop.

[your first name]

Outlevo adds your sender name, postal address and a one-click unsubscribe link under every email it sends, so a template ends at the sign-off.

  • {{first_name}}, {{company_name}} and {{job_title}} are filled for each contact.
  • Anything in [square brackets] is yours to write, from a page you read.

Why it works

  • The fact is the only reason to write, so the email earns its place in the first line.
  • The ask is a small document, not a meeting, so a yes costs the reader nothing.
  • The last line gives a way out, which lowers complaints and makes a real reply easier.

Filled in: an example

Illustrative. Alder Dental Group (alderdental.example) is an invented company, and so is Maya at Chairside. The pages quoted do not exist. The email goes to its Practice Manager.

What the email saysQuote on the pagePage (illustrative)
your locations page lists a fourth practice“Our four practices: Alder North, Alder South, Alder Park, Alder Bay.”alderdental.example/locations

Subject: Alder Dental and the fourth practice

Hi {{first_name}},

I read on your locations page that you now run a fourth practice.

Groups at that point usually find appointment reminders handled four different ways. We make one reminder system for all locations.

Would it help if I sent how groups set up one reminder flow? If not, tell me and I will stop.

Subject: A question about {{company_name}}

Subject: {{company_name}}: a note on [topic]

Hi {{first_name}},

[The fact, with the page it is on]. I wrote a one-page note on what teams in that position check first.

Shall I send it? If not, no reply is needed.

When not to use it

When should I not use the first touch from one observation template?
When you have no fact from a page of theirs: a template with an empty first line is the generic email it was meant to replace.

This template and its variants pass the check Outlevo runs on its own outbound emails: only known merge tags, no number without a source, no spam wording, at most one link, no fake “Re:” or “Fwd:”, and under a hundred and twenty words.
