Cold email template · by situation
Breakup email template for cold outreach
The last email in a sequence tells the reader you will stop. It is short, kind and has no guilt in it, which is why it often gets the reply the earlier ones did not.
When to use it
- After a first email and two follow-ups with no reply.
- You are removing the contact from the sequence anyway.
- You want a clean record of one polite last message.
The template
Copy it, then replace the brackets with what you read on their pages.
Subject: Closing the loop on [the topic]
Hi {{first_name}},
I have written a few times about [the topic] and have not heard back, so I will take it that the timing is wrong and stop writing.
If I read your [the page] wrongly, or someone else owns this, tell me and I will update my note.
All the best to {{company_name}},
[your first name]Outlevo adds your sender name, postal address and a one-click unsubscribe link under every email it sends, so a template ends at the sign-off.
{{first_name}},{{company_name}}and{{job_title}}are filled for each contact.- Anything in [square brackets] is yours to write, from a page you read.
Why it works
- A clear end removes the pressure, and pressure is what causes the silence.
- It asks the reader to correct you, which is easier than to agree to something.
- It leaves a good last impression, so a later email is not a repeat offence.

Subject: Closing the loop on timetabling
Hi {{first_name}},
I have written a few times about timetabling after Oakfield Primary joins the trust, which your news page mentions, and have not heard back, so I will take it that the timing is wrong and stop writing.
If someone else owns this, tell me and I will update my note.
All the best to Brightmoor Schools Trust,

When should I not use the breakup email template?
This template and its variants pass the check Outlevo runs on its own outbound emails: only known merge tags, no number without a source, no spam wording, at most one link, no fake “Re:” or “Fwd:”, and under a hundred and twenty words.
