Closed-lost reactivation email template
A lost deal is the warmest list you have. The email respects what was said before, brings one thing that has changed, and asks only for a reply.
When to use it
- A deal was lost on timing, budget or a missing feature, at least a quarter ago.
- Something public has changed on their side or yours.
- The contact is still at the company.
The template
Copy it, then replace the brackets with what you read on their pages.
Subject: Since we last spoke about [the topic]
Hi {{first_name}},
When we last spoke, [the reason it stopped, in their words]. Since then, [the new fact from their page, or a change in your product].
If that changes things, I can send [a small thing]. If not, I will not write again.
[your first name]Outlevo adds your sender name, postal address and a one-click unsubscribe link under every email it sends, so a template ends at the sign-off.
{{first_name}},{{company_name}}and{{job_title}}are filled for each contact.- Anything in [square brackets] is yours to write, from a page you read.
Why it works
- It repeats their reason, which shows you listened.
- It adds one new fact so the email is not a nudge.
- It makes saying no easy, which makes honest answers more likely.

Illustrative. Tamarind Hospitality (tamarindhospitality.example) is an invented company, and so is Gil at Rostrum. The pages quoted do not exist. The email goes to its Operations Director.
| What the email says | Quote on the page | Page (illustrative) |
|---|---|---|
| your site now lists a second hotel | “Tamarind Hospitality now operates two hotels in the city.” | tamarindhospitality.example/about |
Subject: Since we last spoke about rostering
Hi {{first_name}},
When we last spoke, one hotel did not justify a rostering system. Your about page now says you operate two hotels in the city.
If that changes things, I can send a short note on how two-site teams roster. If not, I will not write again.

Hi {{first_name}},
I saw on [the page] that you moved to [new role]. We spoke before about [the topic]. If it is still relevant, I can send a short note.

When should I not use the closed-lost reactivation template?
This template and its variants pass the check Outlevo runs on its own outbound emails: only known merge tags, no number without a source, no spam wording, at most one link, no fake “Re:” or “Fwd:”, and under a hundred and twenty words.
