Cold email template for an HR leader
HR leaders live by calendars and events: a hiring wave, a new office, a benefits cycle. Their own careers page says which one they are in.
When to use it
- The careers page shows a hiring wave, a new country or a first HR hire.
- You sell HR, payroll, learning or recruiting software or services.
- You know the person’s title from a public page.
The template
Copy it, then replace the brackets with what you read on their pages.
Subject: Hiring in [place] at {{company_name}}
Hi {{first_name}},
Your careers page lists [the hiring fact]. When teams grow like that, [what happens to people operations].
We [what you do]. I can send [a one-page checklist or a note on the topic].
If the timing is wrong, tell me and I will stop.
[your first name]Outlevo adds your sender name, postal address and a one-click unsubscribe link under every email it sends, so a template ends at the sign-off.
{{first_name}},{{company_name}}and{{job_title}}are filled for each contact.- Anything in [square brackets] is yours to write, from a page you read.
Why it works
- The hiring fact matches their calendar.
- It talks about their employees’ experience, which HR leaders prioritise.
- A checklist is useful on its own.

| your careers page lists a second warehouse | “Warehouse team: Leeds (now hiring) and Bristol (opening in spring).” | brooklogistics.example/careers |
Subject: Hiring in Leeds and Bristol
Hi {{first_name}},
Your careers page lists warehouse hiring in Leeds and a Bristol site opening in spring. When teams grow like that, onboarding paperwork usually runs twice as slowly as hiring.
We make digital onboarding for shift teams. I can send a one-page checklist for opening a second site.
If the timing is wrong, tell me and I will stop.
