Cold email template for a CISO
Security leaders distrust urgency and tracking. Plain text, one fact they can verify and a document offer is the format that gets read.
When to use it
- A trust page, a security hire or a framework badge is public.
- You sell to security or compliance teams.
- You can state what you do not do, as well as what you do.
The template
Copy it, then replace the brackets with what you read on their pages.
Subject: Your trust page at {{company_name}}
Hi {{first_name}},
[The page] says [the security fact, in their words].
I only know what is on that page, not your environment. Teams at that stage often [the next step]. We [what you do about it].
I can send [a one-page summary of how we handle data]. If you would rather not, say so.
[your first name]Outlevo adds your sender name, postal address and a one-click unsubscribe link under every email it sends, so a template ends at the sign-off.
{{first_name}},{{company_name}}and{{job_title}}are filled for each contact.- Anything in [square brackets] is yours to write, from a page you read.
Why it works
- It admits it knows only the public page, which security readers value.
- It has no fear, urgency or tracking.
- It offers a document about your own security, which is what they will ask for.

Illustrative. Bayline Health Software (baylinehs.example) is an invented company, and so is Cass at Auditflow. The pages quoted do not exist. The email goes to its CISO.
| What the email says | Quote on the page | Page (illustrative) |
|---|---|---|
| your trust page lists HIPAA safeguards and SOC 2 Type I | “Our program includes HIPAA safeguards and a SOC 2 Type I report.” | baylinehs.example/trust |
Subject: Your trust page at Bayline
Hi {{first_name}},
Your trust page says your program includes HIPAA safeguards and a SOC 2 Type I report.
I only know what is on that page, not your environment. Teams at that stage often move next to continuous evidence collection. Auditflow helps with that step.
I can send a one-page summary of how we handle data. If you would rather not, say so.

Hi {{first_name}},
Your disclosure page says [the fact]. We [what you do in that area]. Shall I send our one-page data summary?
[your first name]When not to use it
When should I not use the to a security leader template?
This template and its variants pass the check Outlevo runs on its own outbound emails: only known merge tags, no number without a source, no spam wording, at most one link, no fake “Re:” or “Fwd:”, and under a hundred and twenty words.
