Open with a fact about the reader's own funnel, not a compliment. A compliment on their brand tells them you opened the homepage. A fact about their own funnel tells them you looked at how it works.
This playbook covers who buys, which roles to reach, which triggers to watch and how to write the first email. It also covers what to set up before anything is sent. Where public facts run out, the sections say less instead of filling the gap.
Who buys
Public facts about who buys are thin, so this section is short.
Several vendors name marketing teams as buyers or users. Warmly lists marketing/demand gen among its buyer roles, alongside sales leaders/CROs, RevOps and SDR teams (page read 2026-10-29) [[1]](#sources). RB2B positions itself for B2B sales and marketing teams (read 2026-10-29) [[2]](#sources). Snov.io targets B2B sales, lead generation, marketing teams and agencies (read 2026-10-26) [[3]](#sources). ZeroBounce names marketers and business owners as the segment for its case studies (read 2026-10-26) [[4]](#sources).
If you sell in one of these categories, you are one of several vendors naming the same reader. That is a reason to be specific.
The best evidence of who buys from you is your own closed deals. Outlevo learns the ideal customer from the deals you won and lost in HubSpot [[5]](#sources). You can also import past deals from CSV or your CRM and get a win/loss analysis that proposes ICP hypotheses [[6]](#sources). That analysis counts companies, not deals. Under 10 won companies is labeled very low confidence [[7]](#sources). Proposed ICP segments stay experimental until a person approves them [[7]](#sources).
Markets are your call. Outlevo asks which countries you sell into and never proposes markets [[7]](#sources).
Roles to reach
Public facts name only a few marketing roles, so the list is short.
- Marketing / demand gen. Warmly lists it as a buyer role [[1]](#sources).
- Marketing specialists. Expandi names "sales and marketing specialists" among the people it helps (read 2026-10-26) [[8]](#sources).
- Email marketing. ZeroBounce lists it as a use case (read 2026-10-26) [[4]](#sources).
- Marketing as a use case. Instantly's site lists Marketing next to Sales, Sales Development and Developers (read 2026-11-02) [[9]](#sources).
Nothing public says which title signs the contract in your category. Take that from your won deals. Look at who was on the winning side and write to that role. Do not write to a title only because it sounds senior.
Triggers to watch
Nothing public says which events make a marketing leader ready to buy. What can be named is what a team can observe about its own pipeline.
- Companies on your site. Outlevo's visitor script shows which companies visit, which pages they read and whether they fit your ICP. It never identifies a person or sets a cookie [[10]](#sources). Because a visit is tied to a company, the first email goes to a role at that company. It does not go to "the person who visited."
- Intent on a qualified account. Each qualified account gets a Readiness Card with fit, intent and data quality scores [[11]](#sources).
- Competitor changes. Outlevo's competitor tracking covers quoted facts from competitors' public pages, changes, win/loss by competitor and competitor signals on accounts [[12]](#sources).
Website visitor identification costs 1 credit per company identified per day, however many pages it reads [[10]](#sources).
Pick triggers by checking them against your past wins. If a signal did not show up before deals you won, it is not a trigger for you yet.
Open with a fact about their funnel
A funnel fact is something the reader can check in under a minute. It names a page, quotes a line and says what you could not tell from outside. It does not praise.
Weak openers:
- "Love what you're doing at [Company]."
- "Congrats on the recent launch."
- "I know marketing leaders are busy."
Stronger openers describe something on their public pages:
- A line of copy, quoted exactly, and where the next click goes.
- A form on a landing page, and what it asks for.
- A comparison page that names a competitor, and what it leaves out.
Keep facts and guesses apart
Outlevo's own rules are a good standard for your email. A Readiness Card needs at least three observations, each with a source and a date [[11]](#sources). Facts read from a website are kept only when their quote is found on the page. Guesses are labeled as hypotheses, never presented as findings [[11]](#sources).
Copy the habit. State what you saw as what you saw. State what you think as what you think, in words that show it is a guess. Label every guess so it can be wrong without harm, and state a fact flatly only when you can quote it.
Let the assessment do the first read
The free assessment reads up to 5 public pages of a website. It returns facts labeled as verified observations or AI inferences, and up to 5 experimental segment hypotheses [[13]](#sources). Run it on your own site first. Then use the same labels on the prospect's pages when you write by hand.
Reply-rate benchmarks
Set expectations before you judge a campaign. Compare the numbers with care, because the denominators differ.
Belkins' 2026 cold email study covers 7.5M B2B emails sent in 2025. It defines reply rate as replies divided by emails sent [[14]](#sources). Across industries, 0.45% of those emails get a reply [[15]](#sources).
Smartlead reports that 0.74% of contacts reply for the median sender [[16]](#sources). That counts contacts, not emails sent, so do not set it directly against the Belkins figure.
Rates move by segment. Belkins reports 0.56–0.60% for Legal Services [[17]](#sources).
Neither benchmark is a marketing-only figure. Use them as a rough frame, and trust your own reply data once you have it.
Sample first email (example)
Example only: written for this playbook, not sent to anyone.
Subject: A question about your [page name] page
Hi [First name],
On your [page name] page, the headline reads: "[exact quote from the page]." The button under it goes to [where it goes], and the form there asks for [what it asks for].
I could not tell from outside what happens after that form is sent. My guess is [your hypothesis, worded as a guess].
I work on [what you sell, in one plain sentence]. If that gap is real for you, I can send a short note on how teams you might know have handled it. If not, ignore this and I will not keep writing.
[Your name]
[Your company]
[Your valid physical postal address]
If you would rather not hear from me, reply "no" and I will stop.
Why it is built this way
- The subject names a page, not a benefit. The reader can check it right away.
- The quote is exact. If the line is no longer on the page, do not send the email.
- The guess is labeled. The email says "my guess" so a wrong guess costs little.
- There is one ask. The reader can answer yes or no.
- There is no compliment. The email starts on their funnel.
- The footer carries the postal address and an opt-out. The next section explains why.
Fill every bracket with a real, checked fact before sending. An email with a placeholder left in is worse than no email.
Before you send: mailboxes and authentication
A good first email still fails if the mailbox is not ready. See the glossary entries on deliverability and DMARC for the background.
Before a campaign sends through Smartlead, every mailbox must be connected and warmed up. Its domain must also have SPF, DKIM and DMARC checked in the last 7 days [[18]](#sources). Outlevo writes and schedules the emails. Smartlead sends them from the mailboxes in your Smartlead account [[18]](#sources).
If you use managed mailboxes, Outlevo buys sending domains, creates the mailboxes through Zapmail, sets up DNS and warms them up, so you never touch your main domain [[19]](#sources). A new mailbox sends nothing until it is warm: at least 14 days, usually about 3 weeks [[19]](#sources). Plan the launch date around that wait.
Mailbox providers publish their own rules. Google says: "email senders who send more than 5,000 messages per day to Gmail accounts must meet the requirements in this section. Set up SPF and DKIM email authentication for your domain." (checked 2026-10-22) [[20]](#sources). Microsoft says: "For domains sending over 5,000 emails per day, Outlook will soon require compliance with SPF, DKIM, DMARC." (checked 2026-10-22) [[21]](#sources).
Check the list
Verify addresses before the first send. Email verification in Outlevo costs 1 credit [[22]](#sources). See email verification for the capability. If you use a standalone checker, ZeroBounce's Pay as You Go "starts at $39 USD for validating 2,000 email addresses" (read 2026-10-26) [[23]](#sources). More on plans is on ZeroBounce pricing, plans and integrations.
Keep a person in control
Nothing is sent outside a policy that a person approved. Policies set who can be contacted, on which channels, how often and with what budget [[24]](#sources). Kill switches pause a campaign, a channel or the whole workspace at once [[24]](#sources). A marketing leader's complaint is a good reason to know where that switch is.
Compliance basics
This is not legal advice. It is the set of public rules that apply to a first email, each quoted from its source.
- Postal address. The FTC's CAN-SPAM guide says: "Your message must include your valid physical postal address." (checked 2026-10-22) [[25]](#sources). The sample email carries one.
- Corporate recipients in the UK. The ICO says: "You can email or text any corporate body (a company, Scottish partnership, limited liability partnership or government body)." (checked 2026-10-22) [[26]](#sources).
- Legitimate interests. GDPR Article 6(1)(f) covers cases where "processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party" (checked 2026-10-22) [[27]](#sources). Recital 47 adds: "The processing of personal data for direct marketing purposes may be regarded as carried out for a legitimate interest." (checked 2026-10-22) [[28]](#sources).
Honor every opt-out. Smartlead's events back to Outlevo include sent, reply, bounce, unsubscribe and category changes, by webhook [[18]](#sources).
Optional: ads and follow-ups
Email is one channel. These extras are optional, and each has limits you should know first.
Pair the email with an ad audience
- Google Ads. Outlevo turns the accounts it qualified into a Customer Match audience: verified emails, hashed with SHA-256, refreshed every day [[29]](#sources). Google allows targeting only for accounts at least 90 days old with $50,000 lifetime spend. Below that, the list can still keep those accounts out of your campaigns [[29]](#sources). Building and refreshing audiences uses no credits [[29]](#sources).
- LinkedIn. Audiences are built from company names and websites, not from people. The push is switched off until LinkedIn grants Outlevo access to its Audiences API. The CSV export works today [[30]](#sources).
- Test ads. Outlevo can write test ads from the facts on your website and run them in your own Reddit Ads account [[31]](#sources) or X Ads account [[32]](#sources). A test set holds up to 8 ads and costs 30 credits once [[31]](#sources). Every number in an ad comes from your own facts, and the landing page is on your domain [[31]](#sources). Nothing spends until an owner or marketing approver sets the caps [[31]](#sources). Test ads for Meta and for LinkedIn are built but waiting for platform access, and no date is promised [[33]](#sources) [[34]](#sources).
Plan the second touch
- LinkedIn. Outlevo sends a connection invitation with a short note, then one message after the person accepts. A reply stops that lead's emails [[35]](#sources). Automatic sending comes with Growth and Managed, or with a LinkedIn seat on Builder. Otherwise the invitations and messages are drafted for you to send by hand [[35]](#sources). The invitation note is at most 300 characters [[35]](#sources). Sending on LinkedIn uses no credits [[35]](#sources).
- Booking. Outlevo answers interested replies with your Calendly link, with their name and email filled in. On autopilot the answer goes at once. Otherwise it waits in Replies for you to send [[36]](#sources). Each booking with one of your contacts counts as a meeting booked and is written to your CRM when one is connected [[36]](#sources).
Sending, follow-ups and the mailboxes your plan includes use no credits [[18]](#sources).
A checklist before you press send
- The email quotes a line from a public page, and the line is still there.
- Facts and guesses are worded differently.
- The mailbox is warm, and its domain has had SPF, DKIM and DMARC checked in the last 7 days [[18]](#sources).
- The address was verified.
- The footer has a postal address and an opt-out.
- The role you are writing to matches the role in your won deals.
- You know which markets you sell into, and you chose them yourself.
Next step
Start with your own site. The free ICP assessment reads up to 5 public pages and returns facts labeled as verified observations or AI inferences, plus up to 5 experimental segment hypotheses [[13]](#sources). It also asks which countries you sell into [[37]](#sources).
