Playbooks

Outbound for consultancies and professional services

A playbook for consultancies and professional services firms: build the list from past clients, lead with one relevant case, ask for a small first step.

This playbook takes one approach to the first email: show one relevant case, said plainly, and ask for something small.

This playbook covers who to target, how to find them, what to write, and which rules apply before you send. It is written for firms that sell their own expertise, and also for consultancies that run outbound for clients.

Who buys

Most outside sources describe who buys outbound software, not who buys consulting. One speaks to firms like yours: Instantly's Solutions Partner program is aimed at lead-gen agencies, GTM/RevOps consultancies, fractional SDR teams and deliverability specialists, in its words "agencies and consultants who run outbound for their clients" [[1]](#sources). If that is your firm, read Selling to agencies as well.

That does not tell you which companies buy your service. Your own client history does. The next section shows how to turn it into a target list.

One benchmark is worth knowing. Belkins puts cold email response rates for Legal Services in the 0.56–0.60% range (checked 2026-10-22) [[2]](#sources). That is one profession. No source gives a reply rate for consultancies in general, so do not assume one. Set your own baseline from your first small batches.

Build the target list from your own clients

Start with the engagements you already won and lost. Outlevo can import past deals from a CSV or from your CRM and run a win/loss analysis that proposes ICP hypotheses [[3]](#sources).

From a spreadsheet. A CSV import holds up to 200,000 rows. It maps your columns to deal fields such as stage, amount, outcome and loss reason [[4]](#sources). Importing uses no credits [[4]](#sources).

From HubSpot. The integration learns your ideal customer from the deals you actually won and lost there [[5]](#sources). It reads companies, deals and owners [[5]](#sources). It writes status, fit score and next step to fields Outlevo owns, and your standard HubSpot fields are never edited [[5]](#sources). Nothing is written until an owner or admin approves the field mapping [[5]](#sources). Connecting and syncing use no credits [[5]](#sources).

From Salesforce. Outlevo reads accounts, opportunities and users, and writes only its own fields, Readiness Cards and tasks, through the Outlevo package [[6]](#sources). This one is a pilot. The package is installed with you, and there is no AppExchange listing [[6]](#sources).

If your firm has few past clients, keep this in mind: the analysis counts companies, not deals, and labels small samples. Fewer than 10 won companies is very low confidence [[7]](#sources). Read the output as a set of hypotheses to test, not a finding. Segments proposed by AI stay labelled experimental until a person approves them [[7]](#sources).

Markets are your call. Outlevo asks which countries you sell into and never proposes markets [[7]](#sources).

Roles to reach

The sources are thin here, so this section is short on purpose.

Close lists founders and owners, sales leaders and sales reps as the people it builds for [[8]](#sources). That describes Close's own customers. It does not tell you who signs for a consulting engagement.

For roles, use your own won deals. If you import contacts from HubSpot, you get email, name, job title and email opt-out. This only happens after an admin turns contact import on with a stated purpose [[5]](#sources). Compare the titles on your won deals with the titles on your lost ones, and write to the first group.

If your buyers are founders, the founder guide covers that reader in more depth.

Triggers to watch

Outside sources do not say which events make a company more likely to buy consulting. Do not invent triggers for your service. Name the ones your best clients had in common when they hired you, then watch for those. Outlevo offers these signal tools:

  • Website visitors. One script on your site shows which companies visit, which pages they read and whether they fit your ICP [[9]](#sources). It never identifies a person and never sets a cookie [[9]](#sources). It costs 1 credit per company identified per day, however many pages that company reads [[9]](#sources).
  • Signal checks and person signals. Each costs 1 credit [[10]](#sources).
  • Competitor tracking. It covers quoted facts from competitors' public pages, changes, win/loss by competitor and competitor signals on accounts [[11]](#sources).
  • Intent scores. Each qualified account gets a Readiness Card with fit, intent and data quality scores [[12]](#sources).

Write the case, plainly

Your angle is one relevant case in the prospect's industry. Build the email around that.

  1. Pick one case. Choose the engagement closest to the recipient's industry and size. One case reads as proof. A list of five reads as a brochure.
  2. State what you did and what changed, in your own words. Use only results you can show. If a client has not approved naming them, describe the work without the name.
  3. Say why you are writing to them. Point to something you observed. Outlevo keeps facts read from a website only when their quote is found on the page, and labels guesses as hypotheses [[12]](#sources). Hold your own copy to the same standard. Do not state a guess as a fact about their company.
  4. Ask for something small. A short call, or a one-page note sent on request. Skip the full proposal and the discovery workshop.
  5. Keep it short. Plain sentences, one idea per paragraph, and a line that makes it easy to say no.

Outlevo's Readiness Card needs at least three observations, each with a source and a date [[12]](#sources). Use a similar rule yourself. If you cannot find three specific things about a company, it is not ready for a personal email. Put it in a later batch.

Sample first email (example)

Example only: written for this playbook, not sent to anyone.

Subject: {Industry} work on {problem area}
Hi {first name},
I saw that {specific observation from their public site, with the page it came from}.
We recently helped a {industry} firm of a similar profile with {problem in one plain phrase}. We {what you did}, and {what changed, stated only if you can show it}.
If {problem area} is on your list this year, I can send a one-page note on how we approached it. Or we can talk for a short while, whichever is easier.
If this is not relevant, tell me and I will not write again.
{Sender name}
{Firm name, postal address}
{Unsubscribe link}

The placeholders matter. Fill each one from a source you can point to. If you cannot, cut the sentence.

Channels, mailboxes and follow-ups

Email through Smartlead. Connect your Smartlead key and Outlevo builds each campaign in Smartlead. Outlevo writes and schedules the emails, and Smartlead sends them from your mailboxes [[13]](#sources). Replies and bounces come back by webhook [[13]](#sources). Before a campaign sends, every mailbox must be connected and warmed up. Its domain must also have SPF, DKIM and DMARC checked in the last 7 days [[13]](#sources).

Managed mailboxes. Outlevo can buy sending domains, create the mailboxes through Zapmail, set up DNS and warm them up, so you never touch your main domain [[14]](#sources). A new mailbox sends nothing until it is warm: at least 14 days, usually about 3 weeks [[14]](#sources). Builder includes 1 domain and 2 mailboxes. Growth includes 2 domains and 4 mailboxes [[14]](#sources). For the terms, see deliverability and sequence.

LinkedIn. Connect your own account. Outlevo sends a connection invitation with a note of at most 300 characters, then one message after the person accepts. A reply stops that lead's emails [[15]](#sources). For a trust-led service, the note is a good place for a single sentence on the case, not the pitch. Automatic sending comes with Growth and Managed, or with a LinkedIn seat on Builder. Otherwise the invitations and messages are drafted for you to send by hand [[15]](#sources). You sign in on Unipile's page, and Outlevo never sees or stores your LinkedIn password [[15]](#sources).

Booking. Outlevo can answer an interested reply with your Calendly link, with the person's name and email filled in [[16]](#sources). On autopilot the answer goes at once. Otherwise it waits in Replies for you to send [[16]](#sources). Cal.com works the same way [[17]](#sources). This suits the small first step: the reply gets a link to a short call, not a proposal.

Verification is part of list hygiene. Outlevo's email verification costs 1 credit [[10]](#sources). If you prefer a separate tool, ZeroBounce's Pay as You Go starts at $39 for 2,000 validations, read on 2026-10-26 [[18]](#sources). See ZeroBounce pricing, plans and integrations.

Rules before you send

These are outside rules. Each carries the day it was checked.

  • CAN-SPAM. The FTC's guide says: "The law makes no exception for business-to-business email." (checked 2026-10-22) [[19]](#sources). Emailing a company does not exempt you.
  • Google. Its sender guidelines say: "Marketing messages and subscribed messages must support one-click unsubscribe, and include a clearly visible unsubscribe link in the message body." (checked 2026-10-22) [[20]](#sources). Put the link in the sample email above.
  • Outlook. Microsoft says: "For domains sending over 5,000 emails per day, Outlook will soon require compliance with SPF, DKIM, DMARC." (checked 2026-10-22) [[21]](#sources). If you send fewer than 5,000 emails a day, you are below that threshold [[21]](#sources). The authentication still has to be in place for Smartlead sending [[13]](#sources).
  • GDPR. Article 6(1)(f) covers processing "necessary for the purposes of the legitimate interests pursued by the controller or by a third party" (checked 2026-10-22) [[22]](#sources). Recital 47 says processing personal data for direct marketing "may be regarded as carried out for a legitimate interest" (checked 2026-10-22) [[23]](#sources).
  • UK PECR. The ICO says: "You can email or text any corporate body (a company, Scottish partnership, limited liability partnership or government body)." (checked 2026-10-22) [[24]](#sources).

These are quotes, not legal advice. For your own markets, ask a lawyer who knows them.

Keep a person in control

Professional services firms guard their reputation, so control matters. Nothing is sent outside a policy that a person approved. Policies set who can be contacted, on which channels, how often and with what budget [[25]](#sources). Every external action is checked against the approved policy before it runs, and recorded in a ledger [[25]](#sources). Kill switches pause a campaign, a channel or the whole workspace at once [[25]](#sources).

On data: every customer table is protected by row-level security in the database, and personal data such as email addresses is encrypted at the field level [[26]](#sources). Outlevo's security page has the rest.

What it costs

Plans are Free at USD 0 per month, Builder at USD 29 per month with 320 credits, Growth at USD 149 per month with 1650 credits, and Managed from USD 999 per month on a contract [[10]](#sources). Sending, follow-ups and the mailboxes your plan includes use no credits [[13]](#sources).

Credit costs for the steps in this playbook:

  • Light qualification: 1 credit [[10]](#sources).
  • Qualification: 3 credits [[10]](#sources).
  • Contact discovery: 4 credits. Volume contact discovery: 2 credits [[10]](#sources).
  • Deep research: 30 credits [[10]](#sources).
  • Email verification: 1 credit [[10]](#sources).

A small list suits a consultancy. Spend deep research on the accounts where one case and one observation could earn a reply. Use light qualification for the rest.

If you are weighing software against an outsourced team, the comparison of SDR software, sales engagement and an outbound agency sets out the choices.

Next step

Start with what is public. The free assessment reads up to 5 public pages of your website. It returns facts labelled as verified observations or AI inferences, plus up to 5 experimental segment hypotheses [[27]](#sources). It also asks which countries you sell into [[28]](#sources).

Run it, compare the segments with your own best clients, and pick one case to lead with. Then take the free assessment.
